Job Description Job summary The Project Assistant’s primary duty is to provide administrative support to Project Manager(s) and Project Coordinator(s) from the beginning of the project (bidding/estimating process) through the end of the project by performing the following duties in office. Summary of essential job functions Assists in the bidding/estimating process by acquiring necessary bid documents, plan distribution, making phone calls to subcontractors, sending/faxing out an invitation to bid on each project. Handles call lists and follow-up, invitations to bid, distribution of plans and specifications, maintaining planholders lists, and participation in bid day. Assists in preparation of project estimates. Assist Project Manager(s) administratively in projects awarded by processing: shop drawings, RFI’s, PR’s, SI's, maintaining logs, and all other various project related items. Travel may be required to provide on-site assistance/supervision for project on an as needed basis. Organizes and maintains files, files correspondence and other records on each project assigned. Handles project close-out, collecting warranty information, operation and maintenance manuals in a timely manner for submission to the Project Owner and Project Architect. Participate in client construction meetings as needed. Obtain quotes and set up general condition vendors for projects. Skills / Qualifications Incumbent must possess strong written and oral communication skills. Excellent interpersonal skills. Demonstrate leadership abilities. Computer skills in Microsoft Office applications, especially Excel. Knowledge of Project Management software; and Microsoft Office software. Knowledge of the construction industry is required for this position. The employee must be able to frequently lift and/or move up to 40 pounds. Must have construction degree or three years prior experience in related field.
